College Registrar: (SL-5)

Has the final responsibility on a Campus for the registration of all students and for initiating, maintaining microfilming and computerizing the permanent academic record of each student and alumnus including the collection and reporting of grades, issuance of grade reports and transcripts, deficiency reports, honors list, probation reports and class ranking; utilizes a thorough awareness of the continually increasing application and sophistication of computer technology in all phases of registrar operations; works with the academic staff in coordinating the time schedule for classes including the assignment of classroom space and reservations; maintains records of all college courses and curriculum requirements; has the responsibility for the planning and supervising all pre-registration, registration and program adjustment activities; schedules final examinations; has responsibility for a wide range of external reports and certifications of enrollment; has responsibility for the preparation of all registration material, forms and Schedules of Classes for each registration period; works closely with institutional research and computer center staff in compiling statistical data required for various State University Class size, faculty load and enrollment reports; is responsible for working with camps department, divisions and schools to determine the eligibility of students for graduation and for supervising the clearance of undergraduate degree candidates; is responsible for the undergraduate withdrawal process; maintains close liaison with other administrative offices including admissions offices, financial aid and student accounts in regard to student enrollment; is responsible for all of the administrative affairs of the registrar’s office.

Preferred Qualifications:

A Master’s degree with appropriate experience and a knowledge of computer applications.

Associate College Registrar: (SL-4)

Serves as second-in-charge at the more complex SUNY campuses, where appropriate or as the ranking administrator in the records and registration function at a smaller SUNY campus, where appropriate.

As second-in-charge of a large or complex operation, assists the College Registrar in every aspect of the responsibilities so designated for the College Registrar; acts as the College Registrar in the College Registrar’s absence.

As the ranking administrator of the records and registration function on a smaller campus the Associate College Registrar is responsible proportionally for the full range of duties required of a College Registrar.

Preferred Qualifications:

A Bachelor’s degree with knowledge of computerization for those acting as second-in-charge; A Master’s degree and knowledge of computerization for those acting as ranking administrator.

Assistant College Registrar: (SL-3)

Serves as second-in-charge, or as one of several assistants to the College Registrar or Associate College Registrar. May have responsibility for one or any of the following areas within the Office of Records and Registration: Scheduling a section of courses and classes, assigning classroom and other instructional space, preparing final exam schedule, supervising records data flow and preparing statements of enrollment and attendance, processing student withdrawals and academic dismissals, recording grades and grade changes, mailing student transcripts, posting corrections to student records, certifying degree credits resulting from transfer and special examination, controlling computer data, and reviewing degree applications for fulfillment of degree requirements.

Preferred Qualifications:

A Bachelor’s degree and experience necessary to perform the requirements of the particular area under his/her supervision.
