T.H. Administrative Support

As a family, T.H. Administrative Support provides a broad range of professional support services to department heads or administrative officers within the University Hospital. Distinctions between classes are based on the complexity of support the incumbent provides, the difficulty of the work, degree of autonomy in decision-making, and educational/experience requirements.

T.H. Senior Staff Associate: (SL-5)

Responsible for programs with hospital-wide impact as compared to employees responsible for specialized duties within a department or division. Incumbents frequently work at the highest professional level and frequently assist the hospital’s senior executive officers in the general administration of a project or program. Assumes all administrative responsibilities for the day-to-day operation of the department. These duties may include supervision of the managerial staff responsible for their own areas, monitoring the department’s fiscal accountability and cost containment program, and serving as liaison on the departmental level with all support services.

Preferred Qualifications:

Bachelor’s degree with seven (7) years of experience in an administrative/supervisory capacity. Master’s degree with major in Health Care, Business or Public Administration and at least five (5) years in an administrative/supervisory capacity preferred.

T.H. Staff Associate: (SL-4)

Responsible for the coordination, direction and administrative functions of the divisions or area typically on a 24 hour/day, 7 day/week basis. These duties include providing administrative support to all health care professionals responsible for the provision of patient care or support staff responsible for ensuring a quality patient environment. Incumbents are indirectly supervised, receiving their direction via stated goals from the department or unit head, and are responsible for meeting such goals. Typical duties include provision of on-site support in the absence of hospital administration on off-shifts and weekends, communication with the Administrator-on-Duty (AOD) on pertinent administrative issues that affect the hospital’s operation (e.g., internal/external disasters, physical plant and patient care issues), and provision of follow-up reports when necessary.

Preferred Qualifications:

AAS with a minimum of four (4) years relevant experience in a supervisory/administrative capacity. Bachelor’s degree with a minimum of two (2) years relevant experience in a supervisory/administrative capacity preferred.

T.H. Staff Assistant II: (SL-1)

Incumbents are often assigned the task of coordinating the personnel and business aspects of an office or a department. Develops and maintains an effective system for the distribution of supplies and equipment to meet patient care needs, and keeps abreast of changes in cost, quality and availability of supplies. Plans, schedules and assigns work to support staff. Assists in the preparation of budget requests and provides liaison between the supervisors and other hospital staff with respect to administrative matters.

Preferred Qualifications:

AAS with four (4) years of relevant experience in a supervisory/administrative capacity. Bachelor’s degree with two (2) years of experience in a supervisory/administrative capacity preferred.

T.H. Staff Assistant I: (SL-2)

Incumbents are assigned functional and administrative supervision over a small clerical staff and receive direct supervision from a senior administrator who verifies the work. Typical duties include coordination of divisional activities among individuals and groups working with the incumbent’s area, acting as liaison between staff members and administrative, academic, research and clinical personnel as well as off-campus individuals, and the maintenance of accurate, up-to-date records of state and department funds, to include research grant monies where applicable. Independently responds to routine correspondence and fulfills other duties as assigned.

Preferred Qualifications:

AAS with two years of relevant experience in a supervisory/administrative capacity. Bachelor’s degree preferred.
